Kiddywinkles Early Learning Centres respects the privacy of our families, visitors and website users. This Privacy Policy explains how we collect, use, store and protect personal information, including information used by Kiki, our online conversational assistant and visit booking service.
We handle personal information in accordance with applicable New Zealand privacy requirements and use personal information only for legitimate Kiddywinkles purposes.
Information we may collect
When you use the Kiddywinkles website or communicate with Kiki, we may collect information that you voluntarily provide, including:
your name
email address
mobile number
the Kiddywinkles centre you are interested in
your preferred day or time for a centre visit
your child’s age
your intended childcare start date, if known
attendance preferences you choose to provide
questions or messages you send to Kiki
information needed to create, change or cancel a centre visit
We do not ask parents to provide unnecessary sensitive information through Kiki.
Kiki is designed to collect contact and booking information from adults. Children should involve a parent or caregiver when making enquiries involving enrolment, bookings or personal information.
How we use your information
Information provided through our website or Kiki may be used to:
answer questions about Kiddywinkles
provide information relevant to parents and whānau
help parents choose between our Westgate and Huapai centres
check available centre visit times
create, reschedule or cancel centre visits
send calendar invitations relating to booked visits
respond to enquiries
improve Kiki and the information we provide to families
understand, in an aggregated way, the kinds of questions and topics parents are interested in
maintain the security and reliability of our website and online services
We do not sell personal information.
Kiki and artificial intelligence
Kiki is an AI powered conversational service provided by Kiddywinkles.
Kiki can answer questions using information approved by Kiddywinkles and can assist parents with arranging centre visits.
Messages sent to Kiki may be processed by technology providers that support the operation of the service, including artificial intelligence and website hosting providers.
Kiki should not be used to provide emergency, medical, legal or other professional advice.
Parents should avoid entering sensitive personal information that is not necessary for their enquiry.
Google Calendar access
Kiki uses the Google Calendar API to provide its centre visit booking functionality.
Kiki accesses Kiddywinkles managed Google Calendars for the purposes of:
checking whether a proposed visit time is available
identifying times that are already unavailable
creating confirmed centre visit bookings
rescheduling existing centre visit bookings
cancelling centre visit bookings
sending relevant calendar invitations
Calendar information that is unrelated to a parent’s Kiki booking is not disclosed to parents.
If a period of time is already occupied or blocked in a Kiddywinkles calendar, Kiki treats that time as unavailable. Kiki does not need to disclose the title, description or purpose of unrelated calendar events.
How Google user data is used
Information obtained through Google APIs is used only to provide and operate Kiki’s calendar booking functionality.
Google user data obtained through the Google Calendar API is not:
sold
used for advertising
used for targeted or personalised advertising
provided to data brokers
used to determine creditworthiness
used to build unrelated databases
used to train general artificial intelligence or machine learning models
Our use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the applicable Limited Use requirements.
Google requires OAuth applications to clearly disclose how Google user information is accessed, used, stored and shared, and limits that data to the functionality disclosed by the application.
Service providers
Kiddywinkles uses trusted technology providers to operate our website and Kiki.
These may include providers of:
artificial intelligence processing
website and application hosting
Google Calendar services
database and analytics infrastructure
Information is shared with these providers only where reasonably necessary to provide, maintain or secure the relevant service.
Analytics
Kiki may record limited analytics to help Kiddywinkles understand how the service is being used and improve the information available to parents.
This may include information such as:
anonymous session identifiers
general topics parents ask about
centre interest
booking intent
language used
common questions
areas where Kiki may need additional approved information
Where practical, contact information such as email addresses and telephone numbers is excluded or redacted from analytics.
Analytics are intended to help improve the service, not to create advertising profiles about individual parents.
How long we keep information
Kiddywinkles retains personal information only for as long as reasonably necessary for the purposes described in this policy, to operate our services, maintain appropriate business records and meet legal or regulatory obligations.
Different types of information may be retained for different periods depending on why the information was collected.
When personal information is no longer reasonably required, it may be deleted, securely destroyed or anonymised.
Google specifically expects privacy policies used for OAuth applications to explain data retention and deletion practices.

We may update this Privacy Policy as Kiddywinkles, Kiki or the services we use develop.
If there is a material change to how Kiki uses Google user data or other personal information, this policy will be updated accordingly.
